Working Hours.

Renovations Monday to Friday         : 9.00 am -5.00 pm
                                  Saturday        : 9.00 am-1.00 pm
Moving in/out Monday to Saturday  : 9.00 am -5.00 pm

2. Residents are advice to make necessary arrangement to avoid any inconvenience caused.

3. The JMB & management have advice security guard to prohibit any renovation, repairing works activities to be carried on Sunday & Public Holidays. Your kind co-operation in this matter is much appreciated.

Refer to Raine & Horne notice dated 15 October 2010, due to resident request, the new committee JMB has decide water disconnection issue will be postpone to 14 November 2010, for those residents that affected (late payment ) shall receive final reminder memo to your letter box.

Please treat seriously, there is no more extended and excuse to be entertain and water disconnection will be strictly apply with reference follow the procedure to our Vista Impiana house rules page 6 item 6.2

Resident are request to take initiative to check and update the payment at Management Office.
We appreciate your co-operation if you can settle the payment for the mention date to avoid any inconvenience caused.

NOTICE - Standard Operation procedure of Open Tender

NOTICE

Re: Standard Operation procedure (SOP) of Open Tender


Please be informed that the new JMB committees have agreed the below SOP of Open Tender for any service provider company in Vista Impiana.


2. The objective of SOP is transparency, written in black and white and avoid of any conflict of interest.


3. The SOP of Open Tender as below:


·       Inform the RH Management to put notice to all Vista Impiana residents and JMB committee members regarding open tender for the property service provider and date line for submission to the department person in charge.
·       Inform the RH Management to put copy of notice to all units of Vista Impiana letter box.
·       Priority for month to month basis property service provider.
·       Receiving of open tender quotation seal with company letter head, and must know who is the unit and owner submitted for the quotation, well kept and show to the JMB members during the JMB meeting.
·       The department head need to sign and submit a name list of unit and owner who had submitted the quotation to the chairman.
·       The expensive quotation will automatically put aside, and choose the cheapest and best offer.
·       Then follow up with the department head.
·       Open discussion and decision made majority voted by all the committee members through ballot box.
·       All documents, letters must cc and refer to president.
·      We will issue a letter or call the chosen service provider to attend and presentation & written in black and white about for their job function and offers to Vista Impiana Apartment residents during our JMB meeting.
·       Confirmation & certified by the chairman is only consider approved.
·       Strictly only JMB issue letter of appointment.
·       Collect payment on JMB meeting.
·       If the property service provider is not perform well the duty, the chairman has the authority to terminate the contract in writing and call for JMB meeting to select again for a better property service provider.

•    To maintain records and keep a correspondence file and copies of previous years documents & reports.
•    To organise meetings e.g. booking rooms, providing refreshments if there is a require.
•    To manage minutes of meetings and keep an up to date minutes file. (Building Act 663)
•    To ensure minutes are distributed to members shortly after each meeting and submitted to the Commissioner as well.
•    To organise AGM's and EGMs and ensure that all meetings are conducted in line with the Memorandum and Articles of Association.
•    The secretary has no powers unless they are explicitly delegated by the Chairman (or committee members). (stated in Companies Act).
•    Specific duties of a secretary can be obtained from the Directory of Social change or from the Institute of Chartered Secretaries and Administrators

•    To oversee the community finances, ensuring a budget is set, accounts are properly kept and audited and that the committee receives regular up to date and accurate financial information.
•    To ensure that there are adequate financial controls and procedures in place and that these are regularly reviewed with a view to minimizing risk.
•    To ensure that sound financial advice is provided to the rest of the committee particularly in relation to long term planning of management plans.
•    To ensure that any actions made in the best interests & beneficiaries of the community.
